CONTACT REGISTRATION POLICIES

Registration Policies

 

  • Attendance is limited to NTA and FTA tour operator, travel planner and travel agent members and their spouses/companions. A limited number of NTA suppliers and DMOs will be on site as sponsor representatives. However, suppliers and DMOs will not be permitted access to tour operator-only events.
  • Attendees must be at least 18 years of age and an employee or contractor of the member organization and must receive income for his/her service and/or serve as a member of the organization’s governing body. Children are not permitted to register or attend any meetings or events.
  • Spouse/companion registration allows the individual to participate in sightseeing tours, Fam tours and evening social events only. This option does not allow admittance to any daytime meal functions, tour operator dinner, seminars or meetings/events (e.g., education sessions, Power Hours, breakfasts or luncheons).
  • Attendees and their spouse/companion agree to abide by all rules and safety measures pertaining to Covid-19 during the event as outlined at time of event.

Assumption of Risk, Indemnification and Release of Liability

Attendee, by completing his or her registration application, assumes all risks of disease, illness, personal injury, sickness and death, while attending or traveling to and from Contact; and acknowledges and agrees NTA can make and makes no guarantees, promises or agreements of any type as to the safety or security of Attendee while attending or traveling to and from Contact and Attendee assumes and accepts all risks in this regard.

Attendee, by completing his or her registration application, agrees to indemnify and hold harmless NTA and the officers, directors, employees and agents of NTA from any and all claims, damages, liabilities, losses, personal, injuries, illness, sickness, death, disease, obligations, costs and expenses, including reasonable attorneys’ fees to which NTA or the officers, directors or employees or agents of NTA may become subject or liable as a result of or arising out of, directly or indirectly, any action or conduct of the tour operator or any agents, guests, licensees, employees or invitees of the tour operator while attending or traveling to and from Contact, including, but not limited to, accidents, theft, physical injury, disease, illness, sickness, death, fire or otherwise.

The company and the employee delegates of the company agree to the fullest extent permitted by applicable law to release and waive claims against NTA and its officers, directors, employees and agents of NTA and to discharge them from any losses, personal, injuries, illness, sickness, death, disease obligations, costs and expenses arising from or due to disease, sickness, death, illness, personal injuries or loss of property of the company and its employee delegate while it or its employee delegate is in attendance at Contact or traveling to or from Contact, whether or not caused or contributed to, by or related to any fault or negligence of NTA, its officers, directors, employees or agents, except as to acts or omissions caused by the intentional, willful or gross and reckless conduct of NTA and/or its employees acting within the scope of their employment with NTA. These provisions are intended to be as broad and inclusive as permitted by applicable law and any interpretation or construction hereof shall be governed by the internal laws of the Commonwealth of Kentucky and not the laws of conflict.

Cancellation Refunds and Rebate

  • A 100% refund will be granted for written requests received by March 7, 2025.
  • A 50% refund will be granted for written requests received between March 8 and April 7, 2025.
  • No refunds will be granted for requests received after April 7, 2025.
  • Late cancellation due to illness of registrant, supported by a physician’s statement, will be eligible for a full refund minus a $50 administrative fee.
  • All requests for cancellations and refunds must be made directly to NTA in writing on official company letterhead. These may be faxed to NTA headquarters at +1.859.264.6570 or emailed to headquarters@ntastaff.com.
  • Refunds will not be granted for late arrivals, unused services, unattended events, Sleep-in for GR, or early departures.
